Every price came from the vendor's official page, so no row relies on a secondary source. Wix is the one partial exception, because its page shows dollar prices "for reference only" and gives the UK price at checkout. Several pages don't say whether VAT is included, and the CSV records that row by row.

What a 10-person firm pays for a typical stack

A 10-person UK service firm on eight common tools pays £6,659.40 a year at list price, before VAT. The stack below assumes 10 office users, 4 people who sell, 3 who answer support tickets and 2 who send contracts. All eight prices are in pounds on the UK pages.

Tool and planArithmeticPer year
Google Workspace Business Standard10 users × £11.80 × 12 months£1,416.00
Xero Grow1 organisation × £39 × 12£468.00
Pipedrive Growth4 seats × £39 × 12£1,872.00
monday.com Standard10 seats × £11 × 12£1,320.00
Calendly Standard4 seats × £8 × 12£384.00
Zendesk Support Team3 agents × £15 × 12£540.00
DocuSign Standard2 users × £20 × 12£480.00
Mailchimp Standard, up to 500 contacts1 account × £14.95 × 12£179.40
Total£6,659.40

That is £6,659.40 ÷ 10 = £665.94 a head a year. Six of the eight lines bill per person, so the total grows with every hire. At 20 users and the same proportions, the per-seat lines roughly double while Xero and Mailchimp stay flat.

Billing monthly instead of annually adds £540 a year on three of these lines alone. Calendly costs 4 × (£10 − £8) × 12 = £96 more, Zendesk 3 × (£20 − £15) × 12 = £180 more, and Google Workspace Business Standard on its £14 flexible plan 10 × (£14 − £11.80) × 12 = £264 more.

A heavier CRM changes the picture fast. Four seats of HubSpot Sales Hub Professional at $90 a seat a month cost 4 × $90 × 12 = $4,320 a year, before the one-time $1,500 onboarding fee HubSpot's page lists, against £1,872 for four Pipedrive Growth seats.

How this compares with UK software spend data

The eight-tool stack is a floor, not a typical bill. Cledara, which manages software spend for its customers, published UK benchmarks on 30 October 2026 from 479 UK companies between 1 October 2025 and 30 September 2026.

  • The median UK company spent £73,846 a year on software. The middle half spent £29,549 to £161,780, and the average was £137,599.
  • The median UK company paid for 34 tools, so the stack above covers fewer than a quarter of them.
  • Cledara doesn't record headcount. Its own conversion gives £2,954 a head a year at an assumed 25 staff and £1,477 at 50 staff.

Cledara's figures come from companies that pay for its spend-management software, so treat the £73,846 median as an upper benchmark for a 10-person firm.

Discounts, VAT and currency: reading a price page

List prices are the right basis for a yearly budget, because the headline offers end. Xero, QuickBooks and Sage each showed 90% off for the first 6 months to new customers. FreshBooks showed 50% off for 3 months. Google Workspace showed 50% off for 3 months from 20 November 2026.

A worked example shows the effect. Xero Grow at 90% off for 6 months costs (6 × £3.90) + (6 × £39) = £257.40 in the first year, then £468 every year after. Budget £468.

  • VAT. Most UK pages quote prices before VAT. Squarespace includes estimated VAT, and Zoom adds any VAT in the cart before checkout. A VAT-registered business can usually reclaim the VAT, so compare on the pre-VAT figure.
  • Currency. Ten of the 30 tools showed only dollars to a UK visitor, and n8n showed euros. Zapier's page says it charges in US dollars and converts other currencies at the rate on the payment date, so the pound cost of these lines moves with the exchange rate.
  • Billing period. Annual plans are cheaper but lock you in. Asana Starter costs £11.59 billed monthly against £8.49 billed annually, 37% more. Zapier Professional costs $29.99 against $19.99, 50% more.

Which tools custom builds replace, and which they shouldn't

Custom builds replace simple tools that charge per seat. They should never replace software that files with HMRC or delivers your email.

Commonly replaced

  • Scheduling links (Calendly, Acuity), screen recording (Loom) and e-signatures (DocuSign, PandaDoc), where per-seat fees add up across a team.
  • A simple CRM for one fixed sales process, when Pipedrive or HubSpot seats cost more than the process needs.
  • Single-workflow databases in Airtable, Retool or monday.com that hold one spreadsheet-shaped job.
  • Automation glue on Zapier or Make, once task or credit tiers climb. The guide to Zapier, Make, n8n or custom code covers the break-even point.

Never replaced

  • The accounting ledger. GOV.UK says VAT-registered businesses "must now use compatible software to keep your VAT records and file your VAT Returns" under Making Tax Digital. Xero, QuickBooks and Sage are already built for that. Build around the ledger, for example a receipts or invoice chaser that posts into it, and leave the ledger alone.
  • Payroll. Employers use payroll software to send HMRC a Full Payment Submission on or before each payday. A home-made payroll engine takes on that legal reporting duty with no upside.
  • Email delivery. Google's sender guidelines ask senders to keep spam rates below 0.10% and never reach 0.30%, and bulk senders need SPF, DKIM, DMARC and one-click unsubscribe. Keep Google Workspace or Microsoft 365 for mailboxes and a proper sending service for campaigns.

How Yarigai approaches replacing software

Yarigai starts by listing what a business pays for, then builds only where the payback is clear. Its founder replaced 10 of the team's own subscriptions with tools Yarigai built, saving about £3,600 a year (£301 a month).

Subscription replacedMonthly cost
HighLevel£89.92
Kit£44.92
Hyros£36.72
Repurpose.io£26.90
Loom£22.45
Zoom£20.99
iClosedabout £17 (estimate)
Lickd£15.99
ElevenLabsabout £15 (estimate)
Calendly£11.22

Yarigai also sells the source code of four apps it built for itself, to run on the buyer's own Cloudflare account. Yarigai Recorder replaces Loom, Yarigai Scheduler replaces Calendly, Yarigai Docs replaces DocuSign and PandaDoc, and Yarigai Review replaces Frame.io. Details are on the open source page.

For client work, Yarigai builds inside the client's own accounts, and the client owns the code, the data and the accounts from day one. A one-week blueprint, credited to the build, puts the maths in writing before the client pays anything. It sets out what the system replaces, what that costs a year and what the build costs. Yarigai quotes a fixed price after that blueprint. The homepage example is a $500 a month tool, which costs $6,000 a year, plus 10 hours a week of admin at $20 an hour, which costs $10,400 a year. If the build doesn't come out ahead within the first year, Yarigai doesn't take the job. The build or buy guide walks through the same test.

Common questions

How much does a UK small business spend on software per employee?

The eight-tool stack in this guide costs £665.94 a head a year at list price for a 10-person firm. Cledara's median UK customer spends £73,846 a year across 34 paid tools, which Cledara converts to £2,954 a head at an assumed 25 staff.

Is Microsoft 365 or Google Workspace cheaper for a small business?

Microsoft 365 Business Basic costs £5.40 a user a month, paid yearly, before VAT. Google Workspace Business Starter costs £5.90 a user a month on a one-year commitment, or £7 on the flexible plan, before tax. Yarigai checked both on the UK pages on 7 November 2026.

Are UK software prices quoted with or without VAT?

Most UK pricing pages quote prices before VAT, including Xero, Pipedrive, Sage, Zoom and Microsoft 365. Squarespace includes estimated VAT. Several pages, such as Calendly and Notion, don't say, so check the checkout page before you budget.

Is it cheaper to pay for software annually?

Yes. Across the 13 tools that showed both prices, monthly billing cost 18% to 50% more than annual. Asana Starter is £8.49 a user a month billed annually against £11.59 monthly, and Make Core is $11 against $16. Annual billing locks the seat count for the year, so it suits a stable team.

Which software should a small business never build itself?

Keep the accounting ledger, payroll and email delivery on established products. Making Tax Digital requires compatible software for VAT records and returns, payroll software sends HMRC a Full Payment Submission each payday, and Google's sender rules set spam-rate limits that a home-built mail server would struggle to meet.

How current are these prices?

Yarigai read every price on the vendor's official pricing page on 7 November 2026. The CSV lists each source URL so you can recheck any row, and vendors change prices and offers without notice.
