AI for IT service providers and MSPs: what to automate first in 2026

Short answer

A UK managed service provider can automate seven workflows first in 2026: ticket triage, first replies, runbook search, client reports, quote and renewal chasing, onboarding and offboarding checklists, and licence reconciliation. Each runs with least-privilege access, and a technician approves any change to a client system. DSIT's 2026 survey found 61% of UK information and communication businesses use AI. The NCSC says prompt injection may never be properly mitigated, so an AI that reads client emails gets no admin rights.

Yarigai is a done-for-you AI agency that builds these systems, so read this with that in mind. Every price and figure links to its source below. Read this page as Markdown.

Ticket triage and first replies in the PSA

Triage is the first build for most MSPs, because every ticket needs a type, a priority and a queue before anyone works on it, and the PSA already holds the history. Start by checking what the PSA's own AI does.

What the PSAs already include

  • ConnectWise PSA. ConnectWise advertises 70+ AI-assisted actions in Sidekick for PSA, including ticket summaries, categorisation, resolutions suggested from previous tickets and translation into 10+ languages.
  • Autotask PSA. Autotask's AI page lists a ticket summary, a resolution summary for closed tickets, triage that classifies issue type and priority, and a writing assistant that turns technician shorthand into client-ready text.
  • HaloPSA. Check which AI features your Halo edition includes, and which API scopes an integration needs, with Halo before scoping.

A custom build earns its place where triage depends on the MSP's own rules, such as which client is on which contract, what is in scope and what is billable. It also helps when tickets arrive from several inboxes, Teams channels and monitoring alerts at once.

A vendor-reported result

In a ConnectWise case study, Venéco, an MSP in the Netherlands, said ticket batching that "once took eight (8) hours" a day "now only takes two hours" with Sidekick, across about 1,000 to 2,000 tickets a day. It is a vendor-published result with no independent check.

First replies

The build drafts an acknowledgement, asks for the device, user, error message and a screenshot if they are missing, and suggests a fix when a matching knowledge base article exists. A technician sends it. Any reply that tells a user to change a setting or run a command always needs a technician.

Worked example for triage

These figures are assumptions, so swap in your own.

  1. Assume an MSP logs 2,000 tickets a month, and a technician spends 4 minutes on each one reading, categorising, routing and replying.
  2. That is 2,000 × 4 = 8,000 minutes, or about 133 hours a month and 1,600 hours a year.
  3. Assume drafts and auto-routing halve that time, saving 800 hours a year.
  4. At an assumed staff cost of £25 an hour, 800 hours is £20,000 a year.
  5. Model usage at an assumed 2,000 input and 400 output tokens per ticket on Claude Sonnet 5.5 ($2 and $10 per million tokens) is $0.008 a ticket, or $16 for 2,000 tickets.

Runbooks, documentation and client reporting

A search assistant over runbooks, client documentation and closed tickets answers technician questions in plain English and links each answer to its source. The technician checks the client's live configuration before acting on it. Documentation platforms often hold passwords next to procedures, so the assistant indexes procedures and never credential fields. The guide to AI knowledge assistants explains how search over company documents works.

Monthly client reports

The build drafts each client's report from PSA and RMM data, with ticket volumes, SLA results, top issues, patch status and open risks. It copies every number from the source systems. The account manager adds the commentary and any recommendation before the report goes out.

Quotes, renewals, onboarding and licences

Chasing and checklist work fills service coordinators' days, and it suits a draft-then-approve pattern.

  • Quote follow-ups. The build chases unsigned quotes at intervals the MSP sets and logs each reply in the PSA. Prices and discounts stay with the account manager.
  • Renewals. It flags licence, warranty, domain and SSL certificate renewals ahead of expiry and drafts the renewal quote for approval.
  • Onboarding and offboarding. It collects new starter and leaver details from the client's authorised contact, builds the checklist in the PSA and chases missing approvals. A technician creates or disables the accounts. A late offboarding leaves a leaver's access open, so the build escalates any leaver ticket that stalls.
  • Licence reconciliation. It compares Microsoft 365 seat counts with what each client is billed and lists the gaps for the finance team.

Security: least privilege, the NCSC and Cyber Essentials

An AI tool inside an MSP can reach many clients' systems at once, so it gets the least access each task needs, and nothing it reads can grant it more. Three NCSC documents and one government bill set the standard clients will expect.

  • Choosing a managed service provider (MSP), 24 November 2025. The NCSC tells small businesses to apply "least privilege (giving your MSP only the permissions needed to do the job)", to check that MSPs protect their own access to client systems with two-step verification, and to look for Cyber Essentials Plus. It also asks whether the MSP keeps security logs and whether clients can see them.
  • Prompt injection is not SQL injection, 8 December 2025. The NCSC says language models "simply do not enforce a security boundary between instructions and data inside a prompt" and that "there's a good chance prompt injection will never be properly mitigated". It advises deterministic safeguards, keeping privileged tools away from any model that reads outside email, and logging inputs, outputs and tool use.
  • Cyber Essentials. The scheme covers five controls: firewalls, secure configuration, security update management, user access control and malware protection. IASME says that for assessment accounts created after 26 April 2026, MFA is mandatory on every cloud service where it is available, and cloud services "cannot be excluded from scope". An AI provider account fits IASME's definition of a cloud service, which is "an on-demand, scalable service, hosted on shared infrastructure, and accessible via the internet".
  • Cyber Security and Resilience Bill. The government's factsheet, updated 3 November 2026, says the bill will bring medium and large MSPs into the NIS Regulations 2018. They would need appropriate and proportionate risk measures and would report significant incidents to the Information Commission. Small and micro firms are exempt, and the managed services in scope include "IT remote support or helpdesks".

Controls for an MSP's AI build

  • Separate API credentials for each client and each tool, scoped to the task, with no admin rights.
  • The agent that reads inbound email cannot run scripts or change accounts.
  • Action allow-lists and hard limits in ordinary code, with no deletes.
  • MFA on every cloud account the build uses.
  • A log of every prompt, output and tool call.
  • A technician approves every change to a client system.

Client data and sub-processors

An MSP usually processes its clients' personal data as a processor. The ICO says "A processor may not engage a sub-processor's services without the controller's prior specific or general written authorisation", and processors remain liable for their sub-processors. An AI provider that processes ticket text containing client personal data acts as a sub-processor, so check each client's data processing agreement before connecting one.

What AI costs an MSP

A single automation, such as ticket routing, costs from £1,500 to build plus £99 a month on one London agency's 2026 price list. The table uses Softomate's list, updated 1 October 2026, which says its prices exclude VAT.

BuildSetup fromMonthly from
Simple automation, for example ticket routing£1,500£99
Reporting starter, for example monthly client reports£2,500£99
API or system integration starter, for example PSA to billing£3,000£199
Knowledge assistant over runbooks and tickets£6,000£399
AI customer service integration£6,500£399
Controlled AI agent£6,500£399

These are one agency's "from" prices, with platforms and usage billed on top. No independent survey of UK AI build prices exists. Model usage is the smallest line, at about $16 a month for 2,000 tickets in the worked example above. The guides to AI agent costs and monthly AI running costs cover hosting and what moves those numbers.

How Yarigai builds this for MSPs

Yarigai is a done-for-you AI agency in London. It builds AI agents, support agents that answer from a client's own documents, inbox triage, internal tools that replace spreadsheets and finance dashboards. For an MSP, it builds them inside the MSP's own PSA, email and documentation accounts. The MSP owns the code, the data and the accounts from day one.

A project starts with a free 30-minute scope call on Google Meet, and the MSP keeps the notes whether it hires Yarigai or not. A blueprint of about a week, credited to the build, sets out a written plan, a clickable prototype, the monthly running cost, a fixed price and the payback maths. The build takes 2 to 6 weeks with a demo of working software every week. A single workflow, such as ticket triage, can go live in about two weeks.

A person approves anything that sends money, emails a customer or deletes data. AI and hosting bills are paid by the MSP at cost. Yarigai's guarantee is one sentence: "If the build isn't profitable for you, we won't build it."

Yarigai has no published MSP case study. Its support agents and operations work are described on the services pages.

Common questions

Can AI triage tickets in ConnectWise, Autotask or HaloPSA?

Yes. ConnectWise Sidekick and Autotask's own AI already summarise and categorise tickets, and a custom build can add the MSP's contract and billing rules on top. Keep a technician on security incidents and on any change to a client system.

Should an MSP use the PSA's AI or build its own?

Start with the PSA's built-in features, because they already sit on the ticket history. Build where the PSA can't apply your own contract rules, where tickets come from several channels, or where you need reports and renewals the PSA doesn't produce.

Is it safe to give an AI agent access to client systems?

Only with least privilege, hard limits in code and a log of every action. The NCSC says models do not separate instructions from data, so a model that reads client emails should never hold admin tools. A technician approves every change.

Does Cyber Essentials apply to AI tools an MSP uses?

Yes, for an MSP that holds or seeks certification, because AI tools are usually cloud services. Under the requirements in force for assessment accounts created after 26 April 2026, MFA is mandatory on every cloud service that offers it, and cloud services cannot be excluded from scope.

Will the Cyber Security and Resilience Bill cover MSPs?

The government's November 2026 factsheet says it will bring medium and large managed service providers into the NIS Regulations 2018, with incident reporting to the Information Commission. Small and micro firms are exempt.

Do clients need to approve an MSP using AI on their tickets?

Often, yes. Where the MSP is a processor, the ICO says it needs the client's prior specific or general written authorisation to engage a sub-processor, and an AI provider that reads tickets is one. Check each data processing agreement first.
