How to automate invoice and document processing with AI

Short answer

AI document processing reads invoices, receipts, contracts and forms, pulls out fields such as supplier, date, VAT and total, and posts them to Xero, QuickBooks or another system after a person checks them. As of November 2026, AutoEntry starts at £15.45 a month for 50 invoices and Dext at £24.17 a month for 250 on annual billing. Xero includes smart document capture on every UK plan. A custom build costs from £4,500 plus £299 a month on one London agency's list.

Yarigai is a done-for-you AI agency that builds these systems, so read this with that in mind. Every price and figure links to its source below. Read this page as Markdown.

No peer-reviewed invoice extraction benchmark from 2026 turned up in research for this guide. The accuracy figures come from small, informal tests.

What it covers and how it works

AI document processing turns a document into structured data that another system can use. It covers four common types.

  • Purchase invoices and bills. Supplier, invoice number, date, due date, net, VAT, total and line items, posted as a bill in the ledger.
  • Receipts. Merchant, date, amount and VAT, matched to a card or bank transaction.
  • Contracts. Parties, start and end dates, notice periods, renewal terms and fees, written into a tracker with reminders.
  • Forms. Application forms, delivery notes, timesheets and onboarding packs, written into a CRM, a spreadsheet or a database.

Bank and supplier statements are a fifth type. Dext and AutoEntry both sell statement extraction as an add-on or at a higher credit rate.

The six steps

The model call is one step of six, and the checks around it decide whether the data is safe to post.

  1. Capture. Documents arrive by a dedicated email address, an upload page, a shared folder or a phone photo. Xero and QuickBooks accept email, upload and photo.
  2. Classify. The system decides what each document is (invoice, credit note, receipt, statement, contract) and splits multi-document PDFs.
  3. Extract. A vision model or an OCR service reads the page and returns fields as structured data, such as JSON with a fixed schema.
  4. Validate. Code checks the result. Line items should add up to the net, net plus VAT should equal the total, the VAT number should match the supplier on file, and the invoice number should not already exist.
  5. Review. Anything that fails a check, or falls below a confidence threshold, goes to a person in a review queue.
  6. Post and file. The system creates the bill or record through the ledger's API and attaches the original file.

Xero's own capture does a version of steps 4 and 5. Its page says it matches each record against bank data and flags matches and duplicates, and that pre-filled transactions need a review before posting.

How accurate is AI invoice extraction?

In the most detailed public test, five tools got 83.8% to 91.3% of invoice fields right when line items were left out. Tables were far less reliable, and results varied more by tool.

The clearest public test is Oleg Kokorin's, published on HackerNoon in July 2025. He ran 20 invoices and 20 tables through five tools.

ToolInvoices without line itemsInvoices with line itemsTables
AWS Textract91.3%91.1%82.1%
GPT-4o (OCR text input)90.8%86.5%38.5%
Gemini 1.5 Pro90.0%90.2%94.2%
Azure Document Intelligence85.8%85.7%81.5%
Google Document AI83.8%68.1%38.5%

These are 2025 models on 40 documents, so treat the ranking as a snapshot. A review of published invoice benchmarks by Invoice Data Extraction, updated 25 October 2026, found that none reported confidence intervals, applied significance tests or published a reproducible method. It also called the sample sizes "far too small to be meaningful". That review comes from a vendor that sells extraction.

Vendor claims are vaguer still. Xero says its capture "reads your documents quickly and accurately" and gives no figure. Test any tool or build on a sample of your own invoices that includes the worst scans, and measure each field separately.

Human review patterns that work

Xero and QuickBooks both keep a person in the loop by default. QuickBooks says uploaded receipts and bills "are not yet included in your books" until someone reviews or matches them.

Review everything

Each extracted document waits for a person to approve it. This suits the first month of any new system, while you learn where it goes wrong.

Review the exceptions

Documents that pass every validation check post straight through, and the rest go to a queue. A failed total, a new supplier, a VAT mismatch or a possible duplicate all send the document to a person.

Review by risk

Set rules on value and type. A firm might auto-post receipts under a set amount, review every invoice from a new supplier, and require a second approver before any payment goes out.

Spot-check the straight-through items

Pick a random sample of auto-posted documents each week and check them against the originals. Track the error rate per field. If it rises, tighten the rules.

Off-the-shelf tools and UK prices

For standard purchase invoices and receipts going into Xero or QuickBooks, a ready-made tool costs less than any build. Prices below are list prices checked on 7 November 2026.

ToolPriceWhat you get
AutoEntry Bronze£15.45 a month, excluding VAT50 credits, unlimited users
AutoEntry Silver£27.65 a month100 credits
AutoEntry Gold£51.95 a month200 credits
AutoEntry Platinum£119.35 a month500 credits
AutoEntry Diamond£331.50 a month1,500 credits
AutoEntry Sapphire£518.25 a month2,500 credits

Dext line item extractionFrom £16.50 a month, or £0.40 a document pay as you goAdd-on
Xero Ignite / Grow / Comprehensive / Ultimate£18 / £39 / £55 / £70 a month, excluding VATSmart document capture on all plans; Ignite allows 10 bills
QuickBooks Simple Start / Essentials / Plus£18 / £40 / £60 a monthReceipt and bill upload with data extraction

AutoEntry charges 1 credit per invoice or receipt, 2 credits for an invoice with line items and 3 credits per page of bank statement. Unused credits last 90 days. Dext's annual price works out at £290 ÷ (250 × 12) = about £0.10 a document if you use the full allowance.

Xero's Ignite plan limits you to entering 10 bills, so a business capturing supplier bills needs Grow at £39 a month or above. Xero says its capture extracts line items where needed.

Custom builds and running cost per document

A custom build makes sense when the documents are not standard invoices, when the data goes into a system the off-the-shelf tools don't connect to, or when your checks are specific to your business.

Build prices

Softomate, a London agency, lists invoice extraction and workflow setup from £4,500 plus £299 a month, excluding VAT. That covers one intake route and one invoice type. Full ERP posting and purchase-order matching cost extra. No independent survey covers document processing builds, so this range comes from a firm that sells the work.

API cost per page, worked out

Anthropic's vision docs say an image costs one token per 28 × 28 pixel block. A scanned A4 page at 150 dpi is 1,240 × 1,754 pixels, which is 45 × 63 = 2,835 tokens. Add instructions and a field schema, and one page is about 3,500 input tokens. Assume 500 output tokens for the extracted fields.

ModelInput costOutput costPer pagePer 1,000 pages
Claude Haiku 5.5 ($0.10 / $0.50 per 1M)3,500 × $0.10 ÷ 1M = $0.00035500 × $0.50 ÷ 1M = $0.00025$0.0006$0.60
Claude Sonnet 5.5 ($2 / $10 per 1M)3,500 × $2 ÷ 1M = $0.007500 × $10 ÷ 1M = $0.005$0.012$12
Claude Opus 5.5 ($4 / $20 per 1M)3,500 × $4 ÷ 1M = $0.014500 × $20 ÷ 1M = $0.01$0.024$24

Anthropic's batch processing halves these prices for work that can wait. A two-page invoice roughly doubles the page tokens.

A worked example at 500 invoices a month

A firm receives 500 supplier invoices a month and needs line items. On AutoEntry each costs 2 credits, so it needs 1,000 credits. Platinum has 500, so the firm needs Diamond at £331.50 a month, which is £3,978 a year.

A custom build on Sonnet 5.5 uses 500 × $0.012 = $6 a month in API costs. The build itself, at Softomate's "from" prices, costs £4,500 + (12 × £299) = £8,088 in year one. For standard invoices the ready-made tool wins in year one. The build wins on cost only when it replaces staff time or tools that the off-the-shelf products cannot.

Data protection

Invoices and receipts from sole traders carry personal data, such as names, home addresses and bank details, so UK GDPR applies. Contracts and forms often carry more.

  • Use a paid API tier. Anthropic says API prompts and outputs are not retained by default, except for its Covered Models (Fable and Mythos), which need 30-day retention. Flagged content can be kept for up to 2 years.
  • Keep documents in accounts the business controls, and sign each provider's data processing terms.
  • Don't upload card numbers. QuickBooks advises against uploading sensitive information such as credit card numbers.
  • Run a data protection impact assessment before processing contracts, payslips or ID documents.

How Yarigai builds document reading and filing

Yarigai builds document reading and filing, receipts into Xero or QuickBooks, invoice chasers and finance dashboards, inside the client's own accounts. The client owns the code, the data and the accounts from day one, and pays AI and hosting bills at cost. The monthly running cost is on the quote. A person approves anything that sends money, emails a customer or deletes data, so no payment leaves without a human sign-off.

A project starts with a free 30-minute scope call. The blueprint takes about a week, is credited to the build, and sets out the plan, a clickable prototype, the running cost, a fixed price and the payback maths. Yarigai quotes a fixed price after the blueprint and does not publish prices. The guarantee reads "If the build isn't profitable for you, we won't build it." If AutoEntry or Xero's own capture does the job for less, the blueprint maths will show it. See AI finance automation for what Yarigai builds and custom invoicing or Xero for the invoicing side.

Common questions

How accurate is AI at reading invoices?

In a 20-invoice test published in July 2025, five tools scored 83.8% to 91.3% on invoices without line items. On tables, results ranged from 38.5% to 94.2%. No peer-reviewed 2026 benchmark exists, so test any tool on your own invoices before you trust it.

Can AI read scanned or photographed invoices?

Yes, but accuracy falls on poor images. Vision models read photos and scans directly, and Xero, QuickBooks, Dext and AutoEntry all accept phone photos. Flat, well-lit images in standard formats give the best results.

Does Xero have built-in invoice scanning?

Yes. Xero's UK pricing page lists smart document capture on all four plans, from £18 a month excluding VAT. It reads receipts, invoices and rental statements, extracts line items where needed and flags duplicates. The Ignite plan only lets you enter 10 bills.

Is Dext or AutoEntry cheaper?

It depends on volume. AutoEntry costs £0.21 to £0.31 a credit, with 1 credit per invoice and 2 with line items. Dext's business plan costs £290 a year for 250 documents a month, about £0.10 a document at full use, with line items as an add-on from £16.50 a month.

How much does it cost to process an invoice with an AI API?

About $0.0006 a page on Claude Haiku 5.5 and $0.012 on Sonnet 5.5, based on Anthropic's list prices and about 3,500 input and 500 output tokens per scanned page. Batch processing halves that. The build, hosting and review time cost far more than the tokens.

Do we still need a person to check AI-extracted invoices?

Yes, at least for exceptions. Line items, poor scans and new suppliers cause most errors. Xero and QuickBooks both hold extracted documents for review before they reach the books.

Can AI extract data from contracts?

Yes. A model can pull parties, dates, notice periods and renewal terms into a tracker. Dext says its Vault add-on sorts contracts and watches their dates, and a custom build can write the same fields into your own system.
