## Short answer
A UK property or block management firm can automate seven workflows first in 2026: repair triage, contractor dispatch, resident and tenant replies, service charge reminders, arrears chasing, compliance certificate tracking and lettings admin. A person approves every spend, notice and legal step. The law sets gas, electrical and fire safety deadlines, such as a copy of each gas safety record to existing tenants within 28 days, so they suit automated tracking. The Renters' Rights Act changes for letting took effect on 1 May 2026.

## At a glance
| Workflow | What it does | Tools it connects | What stays human |
|---|---|---|---|
| Repair triage | Takes the report, asks for photos, grades urgency, raises the job | Web form, email, WhatsApp, Fixflo | Anything that sounds like a safety risk |
| Contractor dispatch | Sends the works order, chases the appointment, matches the invoice | Fixflo, MRI Qube PM or Arthur, email | Spend above the agreed limit, section 20 consultation |
| Resident and tenant replies | Drafts answers from the lease, building records and account | Email, resident portal, document store | Lease interpretation, disputes, complaints |
| Service charge reminders | Sends demands and reminders with the statutory summary attached | Block management system, Xero, email | Budgets and every demand figure |
| Arrears chasing | Sends staged reminders and the firm's standard payment options | Block management or lettings system, email, SMS | Payment plans, notices, legal action |
| Certificate tracking | Reads gas, electrical and fire safety records, tracks due dates, sends copies | Document store, Fixflo, calendar, email | Inspections and remedial work decisions |
| Lettings admin | Checks adverts and templates against the Renters' Rights Act, chases referencing | Goodlord or lettings CRM, email | Referencing decisions, rent increases, possession |

The "what stays human" column follows the service charge, safety and renting rules set out below (sources 1 to 8).

## Repairs, contractor dispatch and resident queries
Repair intake is the best first build for most managing agents, because every report needs the same facts and the job already lives in a system such as Fixflo. The AI collects the facts and a person approves the spend.

A repair build takes the report by web form, email or WhatsApp. It asks for photos and the location, grades the urgency against the firm's own rules and raises the job. It sends the works order to the approved contractor for that trade and building, chases for an appointment and updates the resident until the job closes. When the invoice arrives, the build checks it against the works order before a person approves payment.

### Where the build stops for a person
- Any quote above the spending limit agreed with the client.
- Any report that sounds like a safety risk, such as a gas smell.
- Any job that could push a leaseholder's share over £250. The Service Charges (Consultation Requirements) (England) Regulations 2003 apply the section 20 consultation rules where works would make any one tenant's contribution more than £250, so the build flags the job and a property manager runs the consultation.

### Resident and leaseholder queries
The build drafts replies on repair progress, balances, parking and bin days from the lease, the building's records and the resident's account, and a property manager approves each one. Anything that interprets the lease, disputes a charge or is a formal complaint goes straight to a person.

### Worked example for repair intake
No published study gives the hours UK managing agents spend on repair intake, so these figures are assumptions.

1. Assume a firm logs 300 repair reports a month, and staff spend 12 minutes on each one.
2. That is 300 × 12 = 3,600 minutes, or 60 hours a month and 720 hours a year.
3. Assume the build halves that time, saving 360 hours a year.
4. At an assumed staff cost of £18 an hour, 360 hours is £6,480 a year.

## Service charges and arrears
AI can send service charge reminders and chase arrears on a schedule, but the budget, the demand figures and every legal step stay with a person.

### Service charge demands
Section 21B of the Landlord and Tenant Act 1985 says a service charge demand "must be accompanied by a summary of the rights and obligations of tenants". If it is not, the tenant "may withhold payment". A build that sends demands attaches the prescribed summary every time and logs it. The Leasehold and Freehold Reform Act 2024 will replace section 21B with a new section 21C, and on 7 November 2026 legislation.gov.uk listed that change as not yet applied.

The block management system produces the figures, and the AI copies them without calculating or rounding a charge.

### Arrears chasing
An arrears build sends reminders at stages the firm sets and logs every contact. It hands over to a person before any payment plan, notice or legal action. For tenancies in England, the government's Housing Hub says section 21 "no fault" evictions have been abolished, so landlords must use a specific possession ground. A person decides whether one applies.

## Compliance certificates: gas, electrical and fire safety
Certificates suit automation, because each one has a fixed cycle and deadline. The build reads each certificate when it arrives, records the date, the engineer and the result, sends copies on time and chases the next check before it falls due. A qualified person carries out every inspection, and a property manager reads every report that needs remedial work.

| Certificate or check | What the rules require | What the build does |
|---|---|---|
| Gas safety record | A check every 12 months by a Gas Safe registered engineer; a copy to existing tenants within 28 days and to new tenants before they move in; records kept at least 2 years | Files the record, sends copies, books the next check up to 2 months early without losing the deadline |
| Electrical installation condition report (EICR) | Inspection at intervals of no more than 5 years; a copy to existing tenants within 28 days and to the council within 7 days of a written request; remedial work within 28 days, or sooner if the report says so | Tracks the due date, sends copies, chases remedial work and proof it was done |
| Fire risk assessment | A suitable and sufficient assessment, recorded in full with all findings since 1 October 2023 | Files each assessment and chases each action with a named owner |
| Fire doors, buildings with a storey above 11 metres | Quarterly checks of communal fire doors, annual checks of flat entrance doors | Schedules each check and logs the result |
| High-rise buildings, at least 18 metres or 7 storeys | Electronic floor plans and external wall information for the fire and rescue service; monthly checks of firefighting lifts | Keeps plans and check records together and flags any that are out of date |

The table draws on sources 2 to 5. A 2025 amendment extends the electrical safety rules to the social rented sector.

### Fire safety information for residents
In any building with two or more homes, the Fire Safety (England) Regulations 2022 require the responsible person to give residents fire safety instructions and information on why fire doors matter. Home Office guidance on section 156 of the Building Safety Act 2022 says the information must be "in a format that is easily understood by the residents". An AI can draft that notice from the fire risk assessment, and send it to each new resident once a person approves it. Section 156 also raised the fine for some fire safety offences from Level 3 (£1,000) to Level 5, which is unlimited.

## Renters' Rights Act changes for lettings
For firms that let homes in England, the Renters' Rights Act changes that took effect on 1 May 2026 decide what an AI may write to applicants and tenants. The Housing Hub says letting agents acting for a landlord must follow the same rules. GOV.UK's guide to the Act gives civil penalties of up to £7,000 for initial or minor breaches and up to £40,000 for serious, persistent or repeat ones.

- Landlords and agents can take no more than one month's rent in advance, and only between signing and the start of the tenancy. Templates must not ask for more.
- Rental bidding is banned. Written adverts must state a specific price, and no message may ask for, encourage or accept a higher offer.
- Discrimination against renters who have children or receive benefits is illegal. An enquiry bot must answer and book these applicants exactly as it does everyone else.
- Landlords can raise the rent once a year, with at least two months' notice. The build flags when a tenancy becomes eligible, and a person serves the notice.
- The private rented sector database rolls out from 15 December 2026, beginning in the West Midlands, so the build can track each landlord's registration.
- An ombudsman, Awaab's Law and the Decent Homes Standard will follow, with no dates given yet.

Goodlord says it automates 40+ compliance steps and uses AI for identity checks and fraud detection in referencing. A custom build should connect to that platform, not repeat it.

### What to keep human
- Spend above the agreed limit, and section 20 consultation
- Service charge budgets and every figure on a demand
- Payment plans, possession, notices and legal action
- Every safety report that needs remedial work
- Lease interpretation, disputes and formal complaints
- Referencing decisions and rent increases

## Which property software an AI build works with
An AI build works best when the property system lets it read and write jobs, units and contacts directly.

- **Fixflo and MRI Qube PM.** Fixflo's integration shares properties, units, occupiers, leaseholders and contractors with Qube PM, logs repair reports in Qube as calls and sends closed job costs to the invoice register. Fixflo says over 75 ARMA members use Qube PM.
- **Arthur.** Arthur, from Aareon, covers residential, commercial and block management, with apps for occupants and contractors. It lists integrations with Xero, Rightmove, Zoopla, OnTheMarket, Signable and Fixflo.
- **Goodlord.** Goodlord covers referencing, tenancy agreements and move-in payments.

Confirm API access with the vendor before scoping. Where a system has no open API, a build can start from its email notifications and exports. Resident records are personal data, so send them only to AI providers on paid tiers whose terms keep data out of model training.

## What AI costs a property management firm
A single automation, such as repair intake, costs from £1,500 to build plus £99 a month on one London agency's 2026 price list. The table uses Softomate's list, updated 1 October 2026, which says its prices exclude VAT.

| Build | Setup from | Monthly from |
|---|---|---|
| Simple automation, for example repair intake into Fixflo | £1,500 | £99 |
| Invoice extraction and workflow, the closest listed item to certificate reading | £4,500 | £299 |
| Knowledge assistant over leases and building records | £6,000 | £399 |
| Custom chatbot with CRM integration, for resident queries | £6,500 | £399 |
| Controlled AI agent | £6,500 | £399 |

These are one agency's "from" prices, with platforms and usage billed on top. No independent survey of UK AI build prices exists. Against the worked example above, a £1,500 automation plus 12 months at £99 costs £1,500 + £1,188 = £2,688 in the first year, against an assumed £6,480 of time saved.

## How Yarigai builds this for property managers
Yarigai is a done-for-you AI agency in London. It builds AI agents, support agents that answer from a client's own documents, inbox triage, document reading and filing, invoice chasers and internal tools that replace spreadsheets. For a property manager, it builds them inside the firm's own email, document store and property system. The firm owns the code, the data and the accounts from day one.

A project starts with a free 30-minute scope call on Google Meet, and the firm keeps the notes whether it hires Yarigai or not. A blueprint of about a week, credited to the build, sets out a written plan, a clickable prototype, the monthly running cost, a fixed price and the payback maths. The build takes 2 to 6 weeks with a demo of working software every week. A single workflow, such as repair intake, can go live in about two weeks.

A person approves anything that sends money, emails a customer or deletes data. AI and hosting bills are paid by the firm at cost. Yarigai's [guarantee](/guarantee) is one sentence: "If the build isn't profitable for you, we won't build it."

Yarigai has no published property management case study. Its [operations and document work](/services/ai-operations) and [support agents](/services/ai-customer-support) are described on the services pages.

## Common questions
### Can AI handle repair requests for a block management firm?
Yes, for intake and chasing. A build can take the report, ask for photos, grade urgency, raise the job in Fixflo and update the resident. A person approves spend above the agreed limit, handles any safety risk and runs section 20 consultation where a leaseholder's share would pass £250.

### Can AI track gas safety and EICR deadlines?
Yes. Gas safety checks run every 12 months, and existing tenants get a copy of the record within 28 days. Electrical installations need inspection at least every 5 years, with copies to tenants within 28 days. A build can read each certificate, track due dates and send copies, while qualified engineers do the checks.

### Can AI send service charge demands?
It can send demands and reminders that the block management system has calculated. Under section 21B of the Landlord and Tenant Act 1985, each demand must come with a summary of tenants' rights and obligations, or the tenant may withhold payment. A person sets the budget and every figure.

### Does an AI lettings chatbot have to follow the Renters' Rights Act?
Yes. Since 1 May 2026, letting agents must follow the same rules as landlords. A bot must not ask for more than one month's rent in advance, invite offers above the advertised rent or treat renters with children or on benefits differently.

### Does AI work with Fixflo, Qube and Arthur?
It can. Fixflo already syncs units, leaseholders, contractors and job costs with MRI Qube PM, and Arthur lists integrations with Fixflo and Xero. Confirm API access with each vendor first.

### How much does AI cost for a property management firm?
On one London agency's October 2026 list, a single automation costs from £1,500 plus £99 a month, and a resident chatbot tied into the firm's system from £6,500 plus £399 a month, before VAT. Weigh that against the staff time each workflow saves.
