## Short answer
A UK restaurant, pub or hotel should automate booking and enquiry replies first in 2026, then no-show reminders, review reply drafts, rota admin and supplier orders. OpenTable's 2026 report puts the average cost of a no-show table of two at **£55.70**. Allergen questions stay with trained staff, because the law requires accurate information on all 14 allergens. The government's 2026 AI adoption survey found 23% of hotel and catering businesses use AI, up from 11% in 2025.

## At a glance
| Workflow | What it does | Tools it connects | What stays human |
|---|---|---|---|
| Booking and enquiry replies | Answers phone, email, Instagram and WhatsApp enquiries, offers a table or room, books it | OpenTable, ResDiary or SevenRooms, email, social inboxes, phone line | Private hire, large groups, complaints |
| No-show reminders | Sends confirmations and reminders, reads replies, rebooks or releases the table | Booking system, SMS, email | The deposit and cancellation policy, waiving a charge |
| Allergen and dietary questions | Shares the venue's written allergen information, logs the allergy on the booking, hands over to staff | Allergen matrix, booking notes | Every answer about whether a dish is safe for a guest |
| Review replies | Drafts replies to Google and Tripadvisor reviews in the venue's voice | Google Business Profile, Tripadvisor, email | Replies to negative reviews, any offer to a reviewer |
| Rota admin | Collects availability, drafts the rota from forecast covers, chases swaps | Rota tool, booking system, WhatsApp | Approving hours and pay |
| Supplier ordering | Drafts orders from EPOS sales and stock counts, matches delivery notes to invoices | Lightspeed or Square EPOS, supplier email, Xero | Approving each order and payment |
| Hotel guest messages | Answers pre-arrival questions and sends check-in details | Property management system, email, WhatsApp | Refunds, room moves, complaints |

The allergen and review rows follow the Food Standards Agency's allergen guidance and the CMA's fake reviews guidance (sources 1, 2 and 5).

## Bookings and enquiries across phone, email and social
Booking replies are the first build for most venues, because the same questions arrive by phone, email, Instagram and WhatsApp at all hours, and the booking system already holds the answers. The build reads each enquiry, checks availability, offers a time and books it. It passes private hire, groups above the venue's limit and anything it cannot answer to a person, with the conversation attached.

For the phone, an AI receptionist can take bookings during service and put everything else on a callback list. The [AI receptionist cost guide](/guides/ai-receptionist-cost-uk) compares UK plans and custom voice agents.

In the government's AI adoption survey of 3,503 UK businesses, published 29 October 2026, 23% of hotel and catering businesses had adopted AI, up from 11% in 2025. Hotel and catering also had the highest share of businesses neither using nor planning to use AI, at 73%.

### Which booking and EPOS tools an AI build works with
An AI build works best when it can read and write bookings directly. As of 7 November 2026:

- **ResDiary** lists a Consumer API for custom booking journeys, a Data Extract API for customer and booking data, an EPOS API and webhooks that fire when a booking changes. Venues request access through ResDiary's support team.
- **OpenTable** says API use must follow "your applicable agreement with OpenTable", and partners apply through a form. Confirm access before a build is scoped.
- **SevenRooms** says it has more than 100 integrations and an API, and lists about 40 EPOS systems it connects to, including Lightspeed, Toast and Zonal.
- **Lightspeed** publishes a K-Series REST API that covers orders, menus, daily sales data and reservations for booking platforms.

Where a tool has no open API, a build can still start from the booking confirmation emails each system sends.

## No-shows, deposits and reminders
Reminders and deposits cut no-shows, and both already run inside most booking systems. An AI build adds the follow-up. It reads guests' replies, moves bookings to another time and offers released tables to the waitlist.

OpenTable's Restaurant Impact Report, covered by Restaurant Online on 6 October 2026, gives the clearest recent UK figures:

- UK restaurant no-shows fell 6% year on year.
- The average cost of a no-show for a table of two was £55.70.
- 60% of operators said no-shows led them to turn away other bookings, and 48% cited wasted food and stock.
- Operators rated confirmation reminders the most effective measure (43%), then cancellation windows (36%), deposits (32%) and SMS reminders (29%).
- 44% of diners said a small deposit or card hold would make them more likely to turn up or cancel properly, and the average refundable deposit or card hold diners would accept was £35 a person.

OpenTable also says restaurants using deposits through its system saw a 60% reduction in no-shows worldwide. That is a vendor figure about its own product.

### Worked example for no-shows and enquiries
These figures are assumptions, so swap in your own.

1. Assume a restaurant takes 1,000 bookings a month and 5% are no-shows. That is 50 empty tables a month.
2. At OpenTable's £55.70 per table of two, 50 × £55.70 = £2,785 a month, or £33,420 a year.
3. Assume reminders and follow-ups cut no-shows by a third, well below OpenTable's 60% figure for deposits. That recovers £33,420 ÷ 3 = £11,140 a year.
4. Assume the venue also gets 400 enquiries a month by phone, email and social, at 4 minutes of staff time each. That is 1,600 minutes, or about 26.7 hours a month and 320 hours a year. At an assumed £13 an hour, that is £4,160 a year.
5. Model usage at an assumed 3,000 input and 500 output tokens per reply on Claude Sonnet 5.5 ($2 and $10 per million tokens) is about $0.011 a reply, or $4.40 for 400 replies.

The venue sets the deposit amount, the cancellation window and when a charge is waived. The AI never takes card details in a chat. It sends the booking system's own payment link.

## Allergen questions: what must stay human and accurate
An AI can share a venue's written allergen information, but it should never decide whether a dish is safe for a guest. The business is legally responsible for accurate information on 14 allergens, and the FSA's best practice is written information backed by a conversation with trained staff.

### What the law and the FSA say
- **Non-prepacked food.** The FSA's allergen guidance, updated 17 July 2026, says a restaurant or takeaway "must supply allergen information for every item that contains any of the 14 allergens". Staff can give it verbally, with a written notice in a clearly visible position.
- **Online and phone orders.** The same guidance says allergen information must be provided "before the purchase of the food is completed" and again "when the food is delivered".
- **Staff training.** "Food businesses must make sure that staff receive training on allergens."
- **Natasha's Law.** Since 1 October 2021, food prepacked for direct sale, such as sandwiches made and wrapped on the premises, needs a label with a full ingredients list and the allergens emphasised. The law is named after Natasha Ednan-Laperouse, who died after eating a pre-packaged baguette that did not then need ingredients labelling.
- **FSA best practice.** The FSA's best practice guidance for England, Wales and Northern Ireland says "You are not required by law to follow best practice guidance", but "Businesses must ensure that all mandatory food allergen information is accurate." It tells staff to refer to the written allergen information, and says that for pre-ordered group bookings allergen information "should also be discussed with individuals on the day".

### Rules for an AI allergen flow
- Answer only from the venue's current allergen matrix, never from the model's general knowledge or a guessed recipe.
- Quote the matrix entry and the venue's cross-contamination statement, then hand the guest to a trained member of staff.
- Ask whether anyone has an allergy before confirming any phone or online pre-order, as the FSA's best practice suggests.
- Write every allergy on the booking so it reaches the kitchen, and flag it for a check on the day.
- Update the matrix first when a recipe or supplier changes, so the bot reads the new version.

## Review replies and the fake reviews ban
AI drafts review replies well, and the legal risk sits in how a venue asks for and handles reviews, not in the drafting. Since 6 April 2025, the Digital Markets, Competition and Consumers Act has banned fake reviews and reviews that hide an incentive.

The CMA's fake reviews guidance (CMA208, 4 April 2025) gives examples of banned practices. One is contacting a customer who left a negative review and offering a refund or gift card if they change it. Another is buying reviews written by bots. The guidance also says that emailing customers generally to ask whether they wish to leave a review is not prohibited.

A review reply build drafts a reply to every new Google and Tripadvisor review in the venue's voice, and posts positive replies after a quick check. Negative reviews go to the manager. The build never offers anything in exchange for changing a review.

## Rota and supplier ordering admin
Rota and ordering are back-office jobs where AI drafts and a manager approves, because both commit money.

### Rota admin
The build collects staff availability by WhatsApp or the rota tool, drafts next week's rota from forecast covers in the booking system and chases swaps and sickness cover. The manager approves the rota and keeps control of hours and pay.

### Supplier orders and invoices
The build reads daily sales from the EPOS, such as Lightspeed or Square, and the latest stock count. It drafts each supplier's order against the venue's par levels and sends it only after the chef or manager approves. When deliveries arrive, it reads the delivery note and the invoice, flags short deliveries and price changes, and queues approved invoices for the accounts system. The [AI document processing guide](/guides/ai-document-processing) covers how invoice reading works and where people still check.

## What AI costs a restaurant, pub or hotel
A booking reply or reminder automation costs from £1,500 to build on one London agency's 2026 price list, and a custom chatbot tied into the booking system from £6,500, plus monthly fees. The table uses Softomate's list, updated 1 October 2026.

| Build | Setup from | Monthly from |
|---|---|---|
| FAQ chatbot on an existing platform | £1,500 | £99 |
| Simple automation, for example booking reminders | £1,500 | £99 |
| GoHighLevel AI receptionist | £2,000 | £99 |
| WhatsApp AI assistant | £2,500 | £99 |
| AI order, purchasing and inventory (first workflow) | £6,000 | £399 |
| Custom chatbot with CRM integration | £6,500 | £399 |
| Bespoke AI voice agent | £8,000 | £499 |

These are one agency's "from" prices before VAT, with platforms and usage billed on top. No independent survey of UK AI build prices exists. Model usage is small. At about $0.011 a reply on Claude Sonnet 5.5, 1,000 enquiry replies cost about $11.

## How Yarigai builds this for hospitality
Yarigai is a done-for-you AI agency in London. It builds lead capture and booking flows, support agents that answer from a client's own documents, inbox triage, invoice reading and filing, and receipts into Xero or QuickBooks. For a venue, that means building inside its own booking system, inboxes and accounts. The venue owns the code, the data and the accounts from day one, and there is nothing to sign up for.

A project starts with a free 30-minute scope call on Google Meet, and the venue keeps the notes whether it hires Yarigai or not. A blueprint of about a week, credited to the build, sets out a written plan, a clickable prototype, the monthly running cost, a fixed price and the payback maths. The build takes 2 to 6 weeks with a demo of working software every week. A single workflow, such as booking replies, can go live in about two weeks.

A person approves anything that sends money, emails a customer or deletes data. AI and hosting bills are paid by the venue at cost, and the monthly running cost is on the quote. Yarigai's [guarantee](/guarantee) is one sentence: "If the build isn't profitable for you, we won't build it."

Yarigai has no published hospitality case study. Its [customer support](/services/ai-customer-support) and [booking flow](/services/websites-and-apps) work is described on the services pages.

## Common questions
### Can an AI chatbot answer allergen questions for a restaurant?
It can share the venue's written allergen information and log the allergy on the booking, but a trained member of staff should give the final answer. The FSA requires accurate information on all 14 allergens and recommends written information backed by a conversation. A bot that answers from general knowledge instead of the venue's own allergen matrix is a safety risk.

### Does AI work with OpenTable, ResDiary and SevenRooms?
Yes, with different routes. ResDiary offers booking, data extract and EPOS APIs plus webhooks on request, SevenRooms says it has an API and more than 100 integrations, and OpenTable gives API access to partners under an agreement. Where API access is not available, a build can work from the booking confirmation emails.

### Do deposits reduce restaurant no-shows?
OpenTable says restaurants using deposits through its system saw a 60% reduction in no-shows worldwide, which is a vendor figure. In its 2026 UK research, 44% of diners said a small deposit or card hold would make them more likely to honour a booking. UK operators rated confirmation reminders as the most effective measure, at 43%.

### Can AI reply to Google reviews for a pub or restaurant?
Yes, as drafts a person approves, at least for negative reviews. The CMA's fake reviews guidance bans offering a refund or gift card to change a negative review, and bans buying bot-written reviews. Asking customers in general whether they want to leave a review is allowed.

### How much does an AI booking assistant cost for a restaurant?
On one London agency's October 2026 list, a simple booking automation or FAQ chatbot costs from £1,500 plus £99 a month, and a custom chatbot tied into the booking system from £6,500 plus £399 a month. Model usage is about $0.011 per reply on Claude Sonnet 5.5.
