## Short answer
The 20 most useful AI agents for a small business in 2026 fall into five teams. Sales agents qualify leads, support agents answer from help docs and phones, and finance agents chase invoices and key receipts into Xero or QuickBooks. Operations agents file documents, and marketing agents draft content. Zapier found nearly one third of 10,000 AI workflows on its platform were built for lead management (vendor data). A person should approve anything that sends money, emails a customer or deletes data.

## At a glance
| Question | Answer |
|---|---|
| Examples in this guide | 20, four each for sales, support, finance, operations and marketing |
| Most common AI workflow on Zapier | Lead management, nearly one third of 10,000 analysed (Zapier, vendor data) |
| Support resolution rate | 76% average across 12,000+ Fin customers (Intercom, vendor claim); 38% in one independent 500-ticket test |
| Invoice header accuracy | 83.8% to 91.3% across five tools in a 20-invoice test (HackerNoon, July 2025) |
| Time UK firms spend chasing late invoices | 138 hours a year for late-paid firms with 10 to 49 staff (London Economics, 2025) |
| UK build prices | From £1,500 for a simple automation to £8,000 for a voice agent, plus £99 to £499 a month (Softomate, October 2026) |
| Examples on Yarigai's build list | 12 of 20, plus 2 that Yarigai runs as its own products |
| What a person approves | Payments, emails to customers, deletions, prices and decisions about people |

## How to read the 20 examples
Each example below lists what it does, the tools it connects, what a person approves and the guide that covers it in depth. An AI agent uses a language model to choose its next step and call tools, and several of these jobs run well as a cheaper automation with one AI step. The guide to [AI agents and automation](/guides/ai-agent-vs-automation) explains the difference.

The "Yarigai builds it" column uses Yarigai's published build list only. "Yes" means the example matches a system on that list. "No" means it isn't on the list. "Own product" means Yarigai runs it as its own software, not as client work.

## Sales agents: leads, outreach and quotes
Sales is the most common place to start. In Zapier's analysis of 10,000 AI-powered workflows on its platform, nearly one third were built to improve lead management (vendor data).

| Example | What it does | Tools it connects | What a person approves | Yarigai builds it | Guide |
|---|---|---|---|---|---|
| 1. Lead capture and booking | Replies to web enquiries within minutes, asks qualifying questions, books a call and creates the CRM record | Website forms or chat, HubSpot or Pipedrive, Google Calendar or Outlook | Any reply beyond the approved templates, and leads it can't qualify | Yes | [Sales follow-up](/guides/ai-sales-follow-up) |
| 2. Lead research and cold email | Researches each prospect's website, writes a first line and drafts the email | Lead list, web search, Instantly or Smartlead, CRM | The lead list and the first batch of emails | Yes | [AI cold email in the UK](/guides/ai-cold-email-uk) |
| 3. CRM updater | Writes call notes into the CRM, moves the deal stage and drafts the follow-up | Google Meet, Zoom or Teams transcripts, CRM, Gmail or Outlook | Every follow-up email to a buyer | Yes | [Custom CRM costs](/guides/custom-crm-cost-uk) |
| 4. Quote drafter | Turns enquiry details, site notes and the price list into a draft quote | CRM or job system, price list, Xero or QuickBooks | Every quantity, every price and the send | No | [AI for trades and construction](/guides/ai-for-trades-and-construction) |

Speed is the case for the first example. Harvard Business Review's 2011 study of online leads found firms that tried to contact a lead within an hour were nearly 7 times as likely to qualify it as firms that waited an hour longer. Cold email returns are modest. Smartlead's data for January to June 2026 puts the median reply rate at 0.74% of contacts (vendor data).

## Support agents: customers, calls and the inbox
Support agents answer routine questions and hand the rest to a person. Resolution rates vary widely by who measures them.

| Example | What it does | Tools it connects | What a person approves | Yarigai builds it | Guide |
|---|---|---|---|---|---|
| 5. Help-centre support agent | Answers customer questions from your help articles on chat or email, and hands over to a person | Intercom, Zendesk, Gorgias or website chat, help centre | Refunds, exceptions to policy and angry customers | Yes | [AI chatbot costs](/guides/ai-chatbot-cost-uk) |
| 6. AI receptionist | Answers calls, takes messages, books appointments and transfers callers | Retell or Vapi, a phone number, Google Calendar or Outlook, CRM | Complaints and emergencies go straight to a person | Yes | [AI receptionist costs](/guides/ai-receptionist-cost-uk) |
| 7. Shared inbox triage | Sorts info@ and accounts@ email by type and urgency, routes it and drafts replies | Gmail or Outlook, helpdesk, CRM | Every drafted reply before it is sent | Yes | [AI running costs](/guides/ai-running-costs) |
| 8. Order status and returns | Answers "where is my order" from order and tracking data and checks returns against the policy | Shopify, carrier tracking, helpdesk, payment provider | Every refund | No | [AI for ecommerce brands](/guides/ai-for-ecommerce-brands) |

Intercom says its Fin agent averages a 76% resolution rate across 12,000+ customers, which is a vendor claim. An independent 500-ticket small-business test reported by Superframeworks found 38%. Voice is billed by the minute. Retell charges $0.07 to $0.31 a minute for its voice agent, and calls on a UK number bought through Retell add $0.10 a minute (USD, November 2026).

## Finance agents: invoices, receipts and cash
Finance agents chase money and key documents into the accounts, and a person approves anything that posts or pays. Late payment is the documented pain. London Economics found in 2025 that late-paid UK firms with 10 to 49 staff spend 138 hours a year chasing.

| Example | What it does | Tools it connects | What a person approves | Yarigai builds it | Guide |
|---|---|---|---|---|---|
| 9. Invoice chaser | Sends reminders before and after the due date, statements and payment links, and flags disputes | Xero or QuickBooks, Stripe or GoCardless, email | Messages to key clients, disputes and any interest claim | Yes | [Invoice chasing](/guides/ai-invoice-chaser) |
| 10. Receipts and bills into Xero or QuickBooks | Reads receipts and supplier invoices from email or photos, extracts the fields and creates draft bills | Shared inbox, Google Drive or OneDrive, Xero or QuickBooks | Every bill before it posts, and line items it flags | Yes | [AI document processing](/guides/ai-document-processing) |
| 11. Finance dashboard | Pulls invoices, payments and pipeline into a weekly cash and debtor report | Xero or QuickBooks, bank feed, CRM | Nothing is sent; a person reads the report before sharing it | Yes | [Custom invoicing or Xero](/guides/custom-invoicing-system-vs-xero) |
| 12. Missing records chaser | Chases staff or clients for missing receipts and bank statements before a deadline | Accounting software, email, document store | Any message to a client and any deadline change | No | [AI for accountancy firms](/guides/ai-for-accountancy-firms) |

Document reading is accurate on headers and weaker on tables. In a 20-invoice test published on HackerNoon in July 2025, five tools scored 83.8% to 91.3% on invoice fields without line items, and 38.5% to 94.2% on tables. That is why a person checks line items before a bill posts.

## Operations agents: documents, knowledge and admin
Operations agents take repeat admin off the team. Among UK businesses using or planning AI, 81% use it or plan to use it for administration, according to the government's AI Adoption Survey 2026.

| Example | What it does | Tools it connects | What a person approves | Yarigai builds it | Guide |
|---|---|---|---|---|---|
| 13. Document reading and filing | Reads delivery notes, contracts and forms, extracts the fields, renames the file and files it | Email, Google Drive or SharePoint, job or CRM system | Anything it would delete or overwrite, and fields it is unsure of | Yes | [AI for logistics](/guides/ai-for-logistics) |
| 14. Internal knowledge assistant | Answers staff questions from policies, price lists and procedures, and cites the source | Google Drive, SharePoint or Notion, Slack or Teams | Questions it can't answer go to the document's owner | Yes | [AI knowledge assistant](/guides/ai-knowledge-assistant) |
| 15. Spreadsheet replacement | A small internal tool with an AI step, such as a job tracker that updates itself from emails | Email, the current spreadsheet, a database | Bulk changes and records it isn't sure of | Yes | [Internal tool costs](/guides/internal-tool-cost) |
| 16. CV screening and interview scheduling | Summarises applications against the brief and books interviews into free slots | Applicant tracking system or inbox, calendar | Every shortlist and every rejection | No | [AI for recruitment agencies](/guides/ai-for-recruitment-agencies) |

Answers from documents still go wrong. Stanford researchers found in 2024 that retrieval-based legal research tools gave incorrect information more than 17% to more than 34% of the time, so a knowledge assistant needs a test set before launch. CV screening carries legal limits. The ICO's draft guidance says a decision with no meaningful human involvement counts as solely automated, and significant decisions made that way need safeguards under UK GDPR, covered in the guide to [UK GDPR and AI](/guides/ai-gdpr-small-business).

## Marketing agents: content, reviews and ads
Marketing agents draft and test, and a person signs off anything the public sees. About 14% of the AI workflows in Zapier's analysis create content (vendor data).

| Example | What it does | Tools it connects | What a person approves | Yarigai builds it | Guide |
|---|---|---|---|---|---|
| 17. Content repurposer | Turns a webinar, podcast or article into social posts and a newsletter draft in the brand's voice | Google Docs, a scheduler such as Buffer, Kit or Mailchimp | Every post before it is published | No | [AI for marketing agencies](/guides/ai-for-marketing-agencies) |
| 18. Review reply drafter | Drafts replies to Google and Tripadvisor reviews and flags negative ones | Google Business Profile, Tripadvisor, email | Replies to negative reviews and any offer to a reviewer | No | [AI for restaurants, pubs and hotels](/guides/ai-for-hospitality) |
| 19. Ad creative remaker | Turns winning ads into new variants in the brand's style | Meta Ads Library, brand assets, Meta Ads Manager | Every product claim and every budget change | Own product (Mockingbird) | [AI for ecommerce brands](/guides/ai-for-ecommerce-brands) |
| 20. Split-test agent | Runs split tests on pages or offers and reports the winner | Website, Stripe | Which variants go live and when a test ends | Own product (Outtest) | [AI for marketing agencies](/guides/ai-for-marketing-agencies) |

Examples 19 and 20 are Yarigai's own products, not client builds. [Mockingbird](https://mockingbirdhouse.com) remakes winning Meta ads in a brand's style, and [Outtest](https://useouttest.com) runs split tests with AI agents and is listed on the Stripe App Marketplace.

## How Yarigai builds these agents
Yarigai is a done-for-you AI agency in London. Its build list covers 12 of the 20 examples above: lead capture and booking flows, cold email that researches every lead, CRMs built around a client's sales process, support agents that answer from a client's docs, inbox triage, invoice chasers, receipts into Xero or QuickBooks, finance dashboards, document reading and filing, and internal tools that replace spreadsheets. Yarigai has no published client case study yet.

It builds inside the client's own accounts and tools, and the client owns the code, the data and the accounts from day one. AI and hosting bills go to the client at cost, and the monthly running cost is on the quote. A person approves anything that sends money, emails a customer or deletes data.

A project starts with a free 30-minute scope call on Google Meet, and the client keeps the notes whether it hires Yarigai or not. A blueprint of about a week, credited to the build, sets out a written plan, a clickable prototype, the monthly running cost, a fixed price and the payback maths. The build takes 2 to 6 weeks with a demo every week, and a single workflow can go live in about two weeks. Yarigai's guarantee reads "If the build isn't profitable for you, we won't build it." ## Common questions
### What is a good example of an AI agent for a small business?
A shared inbox agent is a common one. It reads every email to info@, sorts it by type and urgency, routes it to the right person and drafts a reply that a person approves before sending. It connects to Gmail or Outlook and often to a CRM or helpdesk.

### Which AI agent should a small business build first?
Start with the repeat task that costs the most staff hours and does little harm if one item goes wrong, such as inbox triage, invoice chasing or receipt capture. Multiply the hours a week by the hourly cost and by 52 to rank candidates. The guide on [where to start with AI](/guides/where-to-start-with-ai) shows the method.

### How much does an AI agent cost for a small business in the UK?
Published UK prices start at £1,500 for a simple automation and £6,500 for a controlled AI agent, plus £99 to £399 a month, on Softomate's October 2026 list. A bespoke voice agent starts at £8,000 plus £499 a month. Model usage is billed on top.

### Can an AI agent work without a person checking it?
For low-risk steps such as sorting email, yes. For anything that sends money, emails a customer or deletes data, a person should approve each action. Wrong answers still happen, and Stanford found retrieval-based legal tools wrong more than 17% of the time in 2024.

### What is the difference between an AI agent and a chatbot?
A chatbot answers questions in one chat window. An agent uses tools to finish a task, such as booking a meeting, updating a CRM record or creating a draft bill in Xero.

### Are AI agents legal to use in the UK?
Yes. An agent that handles personal data must follow UK GDPR, and since 5 February 2026 decisions with legal or similarly significant effects made with no meaningful human involvement need safeguards, including the right to human intervention. Keep a person on hiring, credit and similar decisions.
